Qogita Invoices and Amazon Ungating: What You Actually Get, and How to Use It

The most common question I get about Qogita is some version of “will Amazon accept the invoice?”. So I put Charlie from Qogita in front of my students on a live call and let them ask the awkward questions. This page is the straight answer, with everything I have learned since.

The short version

Every Qogita order comes with an invoice. From suppliers who opt in, you can also get a marketplace invoice and a letter that shows the chain of supply from the wholesaler to you. Qogita says that documentation is designed to line up with what Amazon asks for and that acceptance has improved over the past year. It is still Amazon that decides, every time, so make your first submission the strongest one, and if it is rejected ask Amazon for the specific reason before going back to Qogita support. This call was recorded in April 2025 and Qogita has changed a lot since then, so I have added a section at the end on what is different now. Everything else here is still how the platform works.

Two different documents, not one

People say “the Qogita invoice” as if there is one thing. There are two, and the difference matters.

1. The order invoice

Every order on Qogita gets an invoice with the full detail Amazon expects to see: your business name and address, the products, quantities, prices and the date. You get this whoever you buy from. Qogita is a marketplace rather than a wholesaler, so the invoice is issued by Qogita and the goods ship directly from the wholesaler behind the listing.

2. The marketplace invoice and chain of supply letter

Some wholesalers on the platform have agreed to let their own invoice be shared with marketplaces like Amazon or bol.com. When you request it after an order, Qogita sends you the supplier's invoice plus a letter explaining where the products came from and the guarantees behind them. Together they show the chain of supply: the vetted wholesaler, then Qogita, then you.

On the website this is the Marketplace invoices available filter. Turn it on before you search and you only see offers from suppliers who provide it. On a product with several suppliers, the filter shows just the ones who do.

Why some suppliers do not offer it

This came up on the call and Charlie was open about it. Qogita's buyers are not only Amazon sellers. The same wholesalers are selling to other wholesalers, to bricks and mortar chains and to other marketplaces, and some of them simply do not want their supply chain paperwork going to Amazon. A few are worried about being cut out of the chain, others do not want to deal with marketplaces at all. The supply team keeps pushing more suppliers to opt in, and the filter exists so you can choose only the ones who have.

Some just really don't want to give their supply chain documentation to Amazon. They're worried about circumvention.

Charlie, Qogita

Ungating is one use. Authenticity is the bigger one

Most beginners think of invoices as the thing you need to get ungated in a brand or category. Charlie's point on the call was that the more serious use is defending yourself when a buyer or Amazon questions whether your stock is genuine. Everything on Qogita comes from a vetted supplier, but as he put it, that is no help if you cannot prove it when Amazon asks.

It doesn't matter if you can't prove it to Amazon.

Charlie, Qogita

That is exactly where the chain of supply letter earns its keep. One of my students was on the call. He had received a Section 3 authenticity notice on his account for a product he bought on Qogita. He submitted the Qogita invoice together with the supplier's invoice and the account was reinstated. I will say the same thing I say about every case like this: it is one account and one set of documents, not a promise. It does show what a complete submission looks like.

What Qogita says, and what I say

Here is the position Qogita has asked its partners to be clear about, and I agree with it. The invoice documentation is designed to align with Amazon's requirements, acceptance rates have been improving over the past year, and Qogita does not work with Amazon directly or guarantee that any document will be accepted. Amazon makes that decision and it can go either way.

My own experience across my orders and my students' accounts has been good, and I still treat every submission as if it might be the only one Amazon reads properly. Three habits make the difference:

  • Match the details before you order. The name and address on your Qogita account must be the same as the legal name and address on Seller Central. Once an order is paid, nothing on it can be changed, so fix your account first.
  • Submit everything together. The order invoice, the marketplace invoice and the letter in one application, with a plain explanation of what you are applying for.
  • Order small until you are approved. Charlie's advice was the same as mine: do not spend ten grand on stock in a brand you are not yet ungated in. Buy enough to apply, get approved, then scale.

Don't spend ten grand on something that you haven't got ungated on.

How to request a marketplace invoice, step by step

  1. Before you buy, turn on the Marketplace invoices available filter so every supplier you see is one that provides the documents.
  2. Check your account details match Seller Central exactly: legal name, address and VAT number if you have one.
  3. Place the order and let it dispatch. The goods come from the supplier, so a cart with three suppliers arrives as three shipments.
  4. Request the marketplace invoice from the order and give the reason, for example brand approval for a named brand, or an authenticity case on a named ASIN.
  5. Submit the documents together in your Amazon application: the order invoice, the supplier's invoice and the chain of supply letter.
  6. If Amazon rejects it, ask Amazon for the specific reason first. Then take that reason to Qogita support or your account manager. They can often fix a detail or go back to the supplier, but only if they know what Amazon objected to.

What I tell everyone not to do is resubmit the same documents again and again hoping for a different reviewer. Find out why it was rejected, fix that, then resubmit once.

Before you spend a penny on a new brand

Having the right paperwork does not mean a brand is sellable. Plenty of brands on Qogita cannot be listed on Amazon by third party sellers, or only with approval you may not get: some have brand restrictions in place, some have exclusive distribution deals, and on some listings Amazon itself is the seller and will always win the buy box. Qogita cannot tell you which brands Amazon will approve you for, and neither can I.

So research the brand before you order. Check the listing for restrictions in Seller Central, look at who is selling it and for how long, avoid anything with a history of IP complaints, and ask in our free Discord whether anyone has sold it. Then order a small amount, apply, and only scale once you are approved.

What else my students got out of Charlie

The call ran for forty minutes and most of it was not about invoices. These are the answers worth keeping.

Buy from all of Europe

Charlie's first tip was to set your shopping preference to the UK and Europe rather than the UK alone. You get far more selection, and for UK buyers Qogita handles the import and customs side, so there are no customs duties to pay and no paperwork to do. Shipping is included in the price. Import VAT still applies as it does on any import, and if you are VAT registered you reclaim it as normal. The two things to watch are packaging language, because a Spanish supplier may send Spanish packaging, and plugs on anything electrical.

Minimum order values

Every supplier sets its own minimum. Charlie said a lot of them sit around the 300 mark and some are a lot higher. The cart shows you which lines are ready to check out, and if you are short you can add more products or browse that supplier's full inventory to make up the number.

The watch list and price alerts

You can save a product with a target price and target stock level, then filter to the ones where your targets have been met. You can also upload a list of barcodes and target prices to compare an existing price list against Qogita in one go. Prices and stock move constantly, so this is how you catch products that are nearly profitable today and will be tomorrow.

Delivery times

At the time of the call, suppliers had a maximum of three days to hand an order to the courier, delivery was usually around four days and should land within ten business days. Multi supplier carts arrive as separate parcels.

Claims, and why there are no returns

If something arrives damaged, short or with the wrong barcode, you submit a claim with photos of the product and the barcode and Qogita refunds you. On my orders the usual issue is a random damaged unit, and I have been refunded every time. What Qogita does not do is change of mind returns. With hundreds of wholesalers each with their own returns policy it cannot coordinate them, so only buy what you have already checked the numbers on.

That's not us being harsh. It's just not possible for us to coordinate with 500 suppliers.

Charlie, Qogita

Go by the barcode, not the picture

Product images and descriptions on Qogita are pulled in for reference and some come from Amazon listings where a seller has bundled a single unit into a three pack. The picture shows three, the offer is one. Always read the GTIN and the listed quantity, and never assume a bundle unless it is clearly a manufactured multipack. If the wrong product turns up, that is a claim and a full refund.

Don't assume bundling. Assume you're only going to get one unit unless it's clearly a manufactured multi pack.

Payment options

Card and bank transfer, plus buy now pay later through Mondu, which at the time of the call offered 30 day terms at no cost, subject to approval. Your SU100 credit sits in the promotions balance in your wallet and comes off your first order.

Is the pricing competitive?

One of my students asked this straight out. Charlie's honest answer was that with hundreds of supplier catalogues merged into one, some categories have plenty of high margin deals and others are poorly priced, and the job of a marketplace is to keep improving both selection and price. My answer is simpler: it is a sourcing tool, not a shortcut. Download the catalogue with the invoice filter on, run it through your analysis software, and let the numbers decide.

What has changed since this was recorded

The call is from April 2025. Since then Qogita has launched the new website Charlie mentioned, rebuilt its support and claims process so that order and claim questions get an update within 24 hours, and added bulk discounts and preorder pricing for all buyers. Larger orders can now arrive on a pallet rather than as loose boxes. In September 2026 I flew to Amsterdam and spent a day in their office, so if you want the current picture start with my full Qogita review or watch the office walk and talk with Charlie.

Frequently Asked Questions

Does Qogita provide invoices I can use for Amazon ungating?

Every Qogita order comes with an invoice, and suppliers who opt in also provide a marketplace invoice and a chain of supply letter on request. Qogita says this documentation is designed to align with Amazon's requirements and that acceptance has improved, but approval is always Amazon's decision and is not guaranteed.

What is the difference between the Qogita order invoice and a marketplace invoice?

The order invoice is issued by Qogita for every order and shows your business details, products, quantities, prices and date. The marketplace invoice is the supplier's own invoice, shared with Qogita's chain of supply letter, and is only available from suppliers who have agreed to provide it. Use the Marketplace invoices available filter to find them.

Why do some Qogita suppliers not offer marketplace invoices?

Some wholesalers do not want their supply chain documents shared with Amazon, either because they worry about being cut out of the chain or because they do not deal with marketplaces. Qogita's supply team is working to get more suppliers to opt in, and the filter lets you buy only from those who already have.

How do I request a marketplace invoice from Qogita?

Buy from a supplier shown under the Marketplace invoices available filter, then request the marketplace invoice from the order and give the reason, such as brand approval or an authenticity case. Qogita sends the supplier's invoice and a letter about the chain of supply, which you submit to Amazon together with the order invoice.

What should I do if Amazon rejects my Qogita invoice?

Ask Amazon for the specific reason for the rejection first. Then contact Qogita support or your account manager with that reason so they can correct a detail or go back to the supplier. Check that your Qogita account name and address match Seller Central exactly, that quantities meet Amazon's minimum for the application, and that the invoice is recent, then resubmit once with the complete set of documents.

Can Qogita documents help with an Amazon authenticity complaint or Section 3 notice?

The marketplace invoice and chain of supply letter show that your stock came from a vetted wholesaler through Qogita, which is the evidence Amazon asks for in an authenticity case. One of my students had a Section 3 notice lifted with those documents. That is one case rather than a rule, and Amazon decides each case on its own.

Does Qogita handle customs and import duties for UK buyers?

Yes. When you buy from EU suppliers, Qogita handles the import and customs process, there are no customs duties to pay and shipping is included in the price. Import VAT still applies, as with any import, and VAT registered businesses reclaim it in the normal way.

Can I return products to Qogita if I change my mind?

No. Qogita does not offer change of mind returns because each of its hundreds of wholesalers has its own returns policy. Returns and refunds happen through a claim when goods arrive damaged, short or with the wrong barcode, in which case the supplier collects the goods and you are refunded in full.
